2. Information Collected

We collect the following information:

  • Contact form: first name, last name, email, phone, company, message.
  • Nova service (AI receptionist): caller phone number, call transcript, name, order/reservation details.
  • Dashboard (app.nelvox.ca): email, password (hashed), profile preferences.
  • Payment: payment information is processed directly by Stripe; we do not store any card numbers.

3. Purposes of Processing

  • Provide and improve our services (AI receptionist, online ordering, automation).
  • Respond to contact and information requests.
  • Manage user accounts and subscriptions.
  • Send service-related communications (confirmations, updates).

4. Sub-processors and Transfers

We use the following sub-processors to operate our services:

  • Supabase (database hosting) — servers in Canada and the United States.
  • Vercel (web hosting) — global network (CDN).
  • Twilio (telephony and SMS) — United States.
  • Brevo (transactional emails) — France / European Union.
  • Stripe (payments) — United States.
  • Google Cloud / Gemini (voice AI) — United States.
  • Hetzner (dedicated servers) — Germany / Finland.

Some of these sub-processors are located outside Canada. We ensure adequate protective measures are in place in accordance with PIPEDA.

5. Data Retention

Data is retained as long as necessary to provide the service. Call transcripts are kept for 12 months. Account data is deleted within 30 days of subscription cancellation.

6. Your Rights (PIPEDA and Law 25)

You have the right to:

  • Access your personal information held by Nelvox.
  • Request correction of inaccurate information.
  • Request deletion of your data.
  • Withdraw consent for marketing communications.
  • File a complaint with the Office of the Privacy Commissioner of Canada.

7. Security

We implement technical and organizational measures to protect your data: encryption in transit (TLS) and at rest, secure authentication, role-based access control, and continuous monitoring.

8. Cookies

The nelvox.ca website does not use any advertising cookies or third-party tracking tools. Only essential technical cookies (session, language preferences) are used.

9. Changes

This policy may be updated. The last modification date is indicated at the top of the page. In case of substantial changes, we will notify you by email.
